Landscaping business field notes
Keep landscape changes visible from customer to crew
Document the requested change, its price and timing effects, and the crew handoff.

Original Booked Work Pro business workflow · October 19, 2026 · Use your actual service arrangements.
Keep the original scope available
The customer, estimator and crew should be able to identify the same approved work. Use named areas, selected materials, quantities where verified, exclusions and responsibility for cleanup and care.
Record the change before doing it
Write what the customer is asking to add, remove or substitute. Separate the request from approval. A conversation at the site should not silently become an instruction to build work that has not been reviewed.
Review consequences together
Assess the actual effect on scope, materials, price, availability, timing and any specialist review. A different plant size or access route can affect more than the item itself. Do not promise that a change is technically suitable without the appropriate assessment.
Confirm who can approve
Use the process in your actual agreement. Record the approving person, the agreed revision and when it takes effect. If a decision is pending, tell the crew which affected work must wait and what can safely proceed under the original scope.
Hand off the current version
Give the crew the updated brief, identify superseded notes and record any open questions. At closeout, compare completed work with the current approved scope and identify the maintenance or care information the customer needs.
